Operations Administrator

Overview:

Our railroad systems engineering and consulting firm is looking for an Operations Administrator whose primary responsibility will be to handle a variety of contracts from government and private entities. Prioritizing tasks, contract management, performing administrative tasks, and working with project managers is integral to performing day to day duties. Most time spent at a computer workstation in an office environment. If you're the right person for this opportunity, you will have previous experience providing administrative support to a busy office and using Microsoft Office.

Responsibilities:

  • Serve as liaison between client(s) and firm
  • Contract Administration
  • Review, develop, interpret and manage contracts with clients, project managers and subconsultants.
  • Manage paperwork associated with contracts, including but not limited to:
  • Interpret insurance requirements to ensure compliance
  • Check cost proposals for accuracy
  • Generate and check rate sheets for accuracy
  • Analyze and report on specific risks associated with contracts
  • Respond to any concerns or inquiries
  • Administrative resource for appointed project manager(s)
  • Review contracts, agreements, amendments and cost proposals
  • Monitor and manage project time extensions
  • Generate and check rate sheets for accuracy
  • Execute project close outs and notice to proceed
  • Other specifically appointed duties

Qualifications and Skill Requirements:

  • Relevant Bachelor’s degree (3.0 minimum GPA – transcripts may be requested)
  • 2-3 years of related administrative experience
  • Ability to adapt to a changing environment and handle multiple priorities
  • Excellent writing and analytical skills
  • Microsoft Office proficient (Excel, Word, PowerPoint)
  • Proficient in Excel
  • Highly organized and detail oriented
  • Team player with a positive attitude
